Executive Fleet Process
| Select a car from new car brochures (available at most car dealers) |
| Calculate cost from FBT Table (this does not apply to school / unit vehicles) |
| Notify the Office of Facilities Management |
| Confirm quote when received from the Office of Facilities Management |
| Complete and sign Vehicle Lease Order Form |
| Pick up Vehicle from the Office of Facilities Management |
After looking through new vehicle brochures (available from any dealers), please advise the Office of Facilities Management which vehicles you are interested in. We will need to know about any accessories you may wish included. Please remember that accessories will impact on the lease payments. We will arrange the necessary quotes from the leasing company. A copy of these quotes will be forwarded to you for confirmation.
Vehicles are supplied under a fully maintained operating lease. this includes :
- Registration and Reregistration
- Routine Service
- RAC Breakdown
- Free loan car facility (breakdown)
- CFC Full Accident Management
- Any Additional Maintenance
- 24 hour a day driver assistance

When you have decided on a vehicle, you will be required to sign a Custom Fleet Vehicle Order Form. This formalises your order.
We will need to know the following :
- Is the vehicle for section use only(requires Executive Deans approval)?
- Executive Dean / Senior Executive Package(allowance of $16,000
pa includes lease payments, fuel, insurance and FBT)
Over $16,000 requires DVC approval
We will also need to know the account code to be debited and whether you will require a fuel card.
A standard vehicle usually takes 2 to 3 weeks for delivery, subject to availability. Requests for non-standard vehicles may lengthen delivery times. Standard features of vehicles usually includes air conditioning and automatic transmission. Factory ordered vehicles can take up to 6 months for delivery. Please consider delay when specifying vehicles. If an interim vehicle is required it will be charged seperately.
Returning a Custom Fleet Vehicle
You will not be able to hand your vehicle back before your nominated term. When the nominated term has expired, the vehicle should be handed over to the Office of Facilities Management with both sets of keys, half a tank of fuel and the fuel card (if applicable). Any damage to the vehicle will be charged to your account.
On delivery of your vehicle please take the time to read the customer service log supplied with the vehicle.
Please note that you have 24 hour accident and RAC membership included.
It is important that your vehicle is serviced and maintained regularly, according to manufacturer standards detailed in the customer service log.
Fuel cards are issued on request and are for use at BP service stations only.
