| Importing contacts from Excel into Outlook and using them for Distribution List |

- Open Excel documents containing contact, such as data imported from Callista
- Open the "Outlook Contact Export Import Template.xls" (LINK at the end of this instructions) as a template that has all the necessary field ranges for MS Outlook contacts
- Copy data from step 1 into "Student Contact Template for MS Outlook.xls" - ensure they are copied into the appropriate fields (columns).
- Save as the "Outlook Contact Export Import Template.xls" that now contains all the data and name it differently such as BIO210.
- In MS OUTLOOK, do:
In Contact View
CREATING A CONTACT SUBFOLDER:
- Click File
- Folder
- New
- Name it - such as BIO210
- Select Contact
- OK
IMPORTING DATA:
- Click on File
- Import and Export
- Import from another program or file
- Scroll down and select "Microsoft Excel"
- Click "Browse" and find the "BIO210" (the file created in Step 4 above).
- Opt "Do not import duplicate items"
- Select folder to import data into
- OK
CREATING DISTRIBUTION LIST:
- Select the Contact Subfolder where distribution list should be placed
- Click on File
- New
- Distribution List
- Name the Distribution List - such as BIO210
- Click on "Select Members..."
- In Show Names from the: Select the contact subfolder - e.g. BIO210
- Highlight (Select) all the required people / students
- Click on "Member ->"
- OK
- Save and Close
TO EMAIL CONTACTS IN DISTRIBUTION LIST:
- Find the Distribution list created above
- Hover cursor over it
- Right click
- Select "New message to contact"
- Compose email and send it to all contacts in the distribution list (At present, we can only send to a maximum of 100 people at once).
