Travel Advice, Medical Advice and Course Completions

PREAMBLE

Students enrolled in a course which requires travel overseas to complete core or specified elective units must be provided with a copy of this policy. The attached Application Form for Travel Overseas to Complete Course Requirements (Appendix A) must be competed. Students travelling to a country with a Department of Foreign Affairs and Trade (DFAT) category 4 or 5 advice must also complete the Travel Warning Acknowledgement form and lodge it as appropriate. Reference must be made to these documents in relevant Unit Information and Learning Guides.

DEFINITION

Core unit:

A compulsory unit in an approved course, major, minor or specialisation.

Course:

A combination of coherent Units approved by Academic Council that leads to a particular qualification. All bachelor degree courses shall include at least one Major, except in the case of General Arts which will comprise three Minors from the Division of Arts [based upon AC 41/01 - 16/5/01]. The requirements of the Course thus comprise the requirements of the qualification plus the requirements of the Major. In the case of double degrees, a Course may lead to more than one qualification. In the case of all postgraduate courses, the Course and the qualification are equivalent.

High level travel advisory:

A DFAT travel advisory of level 4 or 5, being “Reconsider your need to travel” or “Do not travel”, or equivalent level advisories as DFAT may replace these with from time to time.

Overseas:

Not in Australia.

Specified elective unit:

A compulsory elective unit in an approved course, major, minor or specialisation. A student is required to select a specific number of specified elective units from an approved list.

PRINCIPLES/OBJECTIVES

  1. Students travelling overseas to complete core or specified elective units are covered by the University’s travel insurance policy. The extent of insurance provision should be determined prior to travelling overseas.

  2. All core or specified elective units that require students to travel overseas must include a statement in the handbook advising that students must be aware of DFAT travel advisories prior to their departure. A link to the DFAT website must be included.

  3. If an overseas location has a high level travel advisory in place the student can opt not to travel to that destination. Instead they can seek alternative arrangements as determined by the Program Chair and approved by the Head of School. Students must be advised of this opportunity in the handbook and in the relevant Unit Information and Learning Guides.

  4. If circumstances change while a student is overseas and a high level travel advisory is issued the student can return to Australia where alternative academic arrangements must be made by the Program Chair.

  5. Prior to their departure students must be advised by their Program Chair of actions to take should travel advice be elevated in the overseas location where they are studying. In case of an advisory being raised to a high level travel advisory whilst they are overseas, students must contact their local in-country director or academic supervisor.

  6. Prior to their departure students must provide their Program Chair with a list of pre-existing medical ailments, a list of any medications being taken and contact details for their General Practitioner and/or Specialist. This information will only be used in case of emergency and would not be disclosed to any third parties.

  7. Prior to their departure students must complete the University’s online Travel Register.
