Transfers

PREAMBLE

This policy is designed to assist students applying to transfer between courses (including transfers within Postgraduate courses), majors and campuses as well as the staff facilitating those transfers. It is also designed to assist students seeking transfer from a non-Commonwealth supported place to a Commonwealth supported place. Students are automatically transferred to a non-restricted course on completion of the appropriate documentation.

All students have a right to apply for transfers where their course/major is incomplete. Quotas now apply to individual units while restrictions have been placed on courses and majors, which include one or more units that are restricted by quota.

Decisions on which courses and majors are to be restricted are initiated by Faculties.

Information on restricted courses and majors must be included in the Handbook and in relevant publications.

DEFINITIONS
Admissions only restricted course:

A course, which due to high cut off score requirements and/or load implications, has a restricted entry for students new to the University. New students will not be allowed to add these courses to their initial enrolment but will be able to transfer at the end of their first academic year.

Campus:

A term used to describe Murdoch University teaching locations. Specifically the South Street, Rockingham and Peel campuses and international locations where units are offered.

Core unit:

A core unit is a compulsory unit in an approved course, major, minor or specialisation.

Course:

A combination of coherent units approved by Academic Council that leads to a particular qualification. The requirements of an undergraduate course comprise the requirements of the qualification plus the requirements of the major.

General elective:

A general elective unit is a unit of a student's free choice.

Major:

In undergraduate level courses, a major is a prescribed, academically coherent grouping of units approved by Academic Council, which prescribes at least 24 Part II points and at most 12 Part I points. A primary major is the major associated with the course.

Minor:

In undergraduate-level courses, a minor is a prescribed, academically coherent grouping of units that requires completion of fewer points than a complete major. A minor can be within or outside the area of a student's major and has the purpose of specialisation or diversification.

A minor has a points value of between 11 and 19 points, including no more than 9 Part I points and at least 8 Part II points. At least 6 Part II points of a minor cannot be counted towards a major or another minor.

Non-Quota:

When no restriction is placed on enrolment in a unit.

Non-restricted course/major:

Enrolment is not restricted into these courses/majors. Students must apply for transfer into these courses and majors and admission is automatic unless the student is academically excluded from another course.

Quota:

A limit placed on the number of enrolments in a unit or a restriction as to the cohort of students eligible to enroll in a unit.

For a unit to be recognized as restricted by quota the Faculty must provide a rationale to Academic Council outlining the reason for restriction and the criteria for assessment of admission to the unit. Cohort restriction may be implemented in two ways:

  • Through the prerequisite structure in place for a course. For example first year units require admission to the course and most, or all, subsequent units list a first or sequential year unit as a prerequisite; or

  • By stipulating particular Part II units which only students formally enrolled in the course may complete.

Students must be advised of quotas in the unit details in the handbook.

Restricted course/major:

Enrolment is restricted in a course/major which has core units restricted by quota. Students must apply for transfer into these courses and majors. Admission is determined by the Academic Faculties in consultation with the Prospective Students and Admissions Centre (PSAC) and the Office of Policy and Planning as part of the annual admissions exercise.

Specified elective:

A specified elective unit is one from an approved list within an approved course, major, minor, or specialisation where a student is required to select a specific number of units from the list.

Transfer:

The movement of a student from one course to another and/or the addition or deletion of the primary majors.

Unit:

A unit is the basic component of study, normally completed over a period of one teaching period.

 
POLICY

To be admitted to Murdoch University students must meet set University entrance requirements as well as the entrance requirements of their particular course.

Once admitted to the University and their nominated course of study students are able to apply to transfer between courses, majors and, campuses so long as any conditions associated with that transfer are met. They can also apply to transfer from a non-Commonwealth supported place to a Commonwealth supported place.

Students must apply to transfer so that load and campus planning can be managed and entry into restricted courses and majors monitored.

 

PROCEDURE

1.

Units Restricted by Quota

  1.1

Units are restricted by Faculties to assist in maintaining appropriate student numbers in units, courses and majors and to meet University profile targets.

  1.2

Individual units restricted by quota cannot be used as a core unit in a non-restricted course or major. If a unit restricted by quota is a specified elective in a non-restricted course or major, students enrolled in the course or major will be preferentially enrolled.

  1.3

Faculties must provide a rationale for applying quotas to individual units. Acceptable reasons include academic or physical resource restraints, restricting the number of students into a particular year of a course and academic difficulty of the unit.

  1.4

Quotas on units will be considered each year as part of academic planning. This is to ensure information on units restricted by quota is included in the Handbook.

2.

Enrolment in Majors and Minors

  2.1 Enrolment in up to four non-restricted majors and/or minors is available to students via the self-enrolment facilities in MyInfo. Students must remain enrolled in at least one primary major relevant to their course at all times.
  2.2 Enrolment in more than four majors and/or minors requires Faculty approval.
  2.3 If students no longer wish to be enrolled in any of the primary majors relevant to their course, they must transfer to another course.
  2.4 A minor cannot include any required units which are restricted by quota.
3. Transfer Between Non-Restricted Courses
  3.1

Student transfer between non-restricted courses is conducted at the end of each semester or trimester if applicable, by the Division of Academic Affairs. The only exception to this is when a student is graduating, in which case the enrolment is amended so the graduation processes are able to be properly carried out.

  3.2

To transfer to a non-restricted course students must complete the appropriate form for submission to the Division of Academic Affairs. Forms can be obtained from the Division of Academic Affairs or downloaded from their website.

  3.3

Once the deadline for transfer applications has passed and results for that semester or trimester have been released, the Division of Academic Affairs will process transfers and amend student enrolment on Callista.

4.

Transfer Between Restricted Courses or Majors

4.1

Acceptable reasons for Faculties restricting entry into a course or major include the requirements of professional registration, the need for dedicated facilities and academic cut-off entry.

4.2

To apply to transfer to a restricted course or major students must complete the appropriate form for submission to the Division of Academic Affairs. Forms can be obtained from the Division of Academic Affairs or downloaded from their website.

4.3

Academic Faculties in consultation with the Prospective Students and Admissions Centre, the Office of Policy and Planning and Murdoch International will determine which students will be approved for course transfer as part of the admissions exercise.

4.4

Once a decision has been made the Division of Academic Affairs will advise students by email or in writing if they have been successful or not. Unsuccessful applicants must be provided with the reason(s) why their request was refused.

5. Non-Commonwealth Supported Students (International and Australian)
5.1

International students will automatically be offered a non-Commonwealth supported (privately funded) place on attaining Permanent Residence Status as granted by the Department of Immigration and Citizenship (DIAC).

It is a Federal Government requirement that International fee paying students who become permanent residents must change from their international student status. A student's enrolment must be discontinued if they do not accept this offer.

5.2

Non-Commonwealth supported students are permitted to apply for a Commonwealth supported place. This is conducted as part of the admissions process taking into account the policy on restricted and non-restricted courses and majors and Commonwealth supported place availability together with citizenship and learning entitlement requirements. Students will be in competition with other students seeking admission.

 

5.3

Applications for a Commonwealth supported place are processed at the end of each semester or trimester if applicable and after the release of results. Students applying for a Commonwealth supported place must complete the appropriate form for submission to the Division of Academic Affairs. Forms can be obtained from the Division of Academic Affairs/Murdoch International or downloaded from their website.

 

5.4

The Division of Academic Affairs will advise students in writing (email is acceptable) if they have been successful or not. Unsuccessful applicants must be provided with the reason(s) why their request was refused.

 

5.5

The same processes will apply to any non-Commonwealth student applying for a Commonwealth funded place in the course they are currently enrolled.

6. Transfer After Exclusion From a Course or Major
  6.1

Students excluded from a course or major must apply for transfer into a new course or major and must receive approval to transfer into that course or major from the Program Chair.

  6.2

Students applying to transfer into a second major that was part of the course from which they have been excluded, but who have not been excluded from the specific second major, must be approved for transfer into the new course and major by the Program Chair.

  6.3

The Division of Academic Affairs will advise students by email or in writing if they have been successful or not. Unsuccessful applicants must be provided with the reason(s) why their request was refused.
