Developmental Transcripts

DEFINITION
Developmental Transcript::

The Development Transcript records student successful participation in approved Volunteer Programs that provide students with opportunities to develop and demonstrate skill in areas such as communication, leadership, team work, time management, problem-solving and initiative. Volunteer Programs have worthy objectives and involve activities that make a worthwhile contribution to the University or the Community.

POLICY

  1. At it's first meeting each year Academic Council approves Volunteer Programs eligible for inclusion on Developmental Transcripts.

  2. Only voluntary programs are eligible for inclusion on the Developmental Transcript. Programs in which the student receives either payment or academic credit are not eligible. Payment does not include reimbursement of expenses or small honoraria.

  3. Developmental Transcripts only include details of participation that takes place in approved Volunteer Programs after the approved commencement date of the scheme. There is no retrospectivity.

  4. The number of participants in an approved Volunteer Program may be limited by the availability of appropriate resources. The Coordinator of the Volunteer Program will determine the maximum number of participants and select students to participate in the Program.

  5. Each Volunteer Program will have an agreed description and fixed narration. There will be no variations between different students.

  6. The Volunteer Program must require a significant commitment from participating students. A minimum level of commitment in any 12 month period (which can span successive semesters in two calendar years) would be equivalent to the commitment to complete a unit of study. That is approximately 40 contact hours.

  7. Membership in Committees may be recognised through the Student Leadership Program which is an approved volunteer program.

  8. Inclusion of a program on a student's Developmental Transcript will only take place on successful completion of the Volunteer Program.

  9. Developmental Transcripts will be issued at the same time as Academic Transcripts at no additional cost. These will be separate documents.

  10. Developmental Transcript records will be maintained as official University records within the Student Information System.

  11. Entries may be made on a student's Developmental Transcript in relation to participation in Volunteer Programs on an annual basis. A long-term commitment to a single Volunteer Program may result in more than one entry on the Developmental Transcript.

  12. Students may elect not to have a particular activity listed on their Developmental Transcript.

  13. The Secretary to Academic Council will advise the Office of Central Student Administration of approved Volunteer Programs.

  14. At the conclusion of each Volunteer Program, Coordinators are to advise the relevant Board of Examiners the names of students who have successfully completed the program and advise the names of those students who have indicated in writing that they do not wish to have the activity recorded on their Developmental Transcript.

  15. The Board of Examiners shall forward the names of students who have successfully completed Volunteer Programs to the Office of Central Student Administration for recording on Developmental Transcripts.

  16. In the case of the ‘Student Leadership Program’ the President of Academic Council will perform the role of the Board of Examiners.

  17. A list of approved Volunteer Programs shall be published in the electronic version of the Handbook.

  18. The Deputy Vice Chancellor (Academic) shall provide an annual report to Academic Council each January.

  19. Appeals relating to inclusion of items in a student's Developmental Transcript will be decided by the Deputy Vice Chancellor (Academic).
